Position Overview
The Accounts Payable Clerk will be responsible for the accurate and timely processing of invoices, statement reconciliation, vendor communication, and payables support for multiple construction projects. This role plays a critical part in maintaining operational efficiency and financial accuracy.
Key Responsibilities
- Process 400+ vendor invoices weekly, subcontractor bills, expense receipts, and credit card transactions.
- Review invoices for accuracy, proper coding, approvals, and alignment with purchase orders or job cost categories.
- Maintain vendor files, collect W-9s, and assist with annual 1099 preparation.
- Reconcile statements and resolve discrepancies with vendors or internal teams.
- Assist with weekly check runs, ACH payments, and expense reimbursement processing.
- Communicate with suppliers and subcontractors regarding payment status and documentation needs.
- Support the accounting team with month-end AP close tasks, including accruals and payables reporting.
- Provide administrative support such as filing, scanning, data entry, and job documentation tracking.
Qualifications
- 5+ years of experience in Accounts Payable; construction industry experience strongly preferred.
- Familiarity with job costing, purchase orders, and subcontractor billing is a plus.
- Proficiency in accounting or construction-related software (QuickBooks, Sage, DelTek, or similar).
- Strong attention to detail, accuracy, and follow-through.
- Ability to work effectively in a fast-paced, on-site construction office environment.
- Proficiency in Excel and Microsoft Office Suite.
